Supporting School Communities across South Australia

SMG offers ongoing pastoral and practical support through chaplaincy and wellbeing services to school communities in partnership with the combined Christian community and other organisations.

Position Summary:

The Admin Support Officer plays a vital role in supporting SMG’s mission to enhance the wellbeing of school communities. This position provides professional front-of-house services, general administrative support, and assists with training and chaplaincy-related processes. The role ensures a welcoming environment, efficient operations, and accurate record-keeping, contributing to the smooth functioning of SMG’s programs and services.

The duties associated with this position include the following:

Front-of-House Services

  • Greet and assist visitors, ensuring a warm and professional reception experience.
  • Manage incoming calls and emails, redirecting queries appropriately.
  • Maintain a tidy and welcoming reception area.

General Administration

  • Assist with ordering and management of office supplies, catering, and mail distribution.
  • Prepare meeting rooms and assist with event logistics.
  • Maintain filing systems and update contact lists.
  • Support internal communications and scheduling.

Chaplaincy Support

  • Maintain records and assist with reporting processes.
  • Prepare materials for training sessions and conferences.
  • Assist with onboarding documentation and compliance checks.

Training Coordination Support

  • · Prepare documentation and maintain updates on systems for training services as required.
  • · Assist with the management of company vehicles, mobile phones, and office property.
  • Assist with the organisation of maintenance to building facilities, including security, as required.

Support Asset Management

Stock & Order Support

  • Assist with ordering, monitoring and reconciliation of stock levels.
  • Communicate with Fulfillment Warehouse as required.
  • Assist with processing of stock, orders and general enquiries.

Qualifications/Experience:

  • Previous experience in administration or reception roles.
  • Proficiency in Microsoft Office and database systems.
  • Understanding of confidentiality and compliance requirements.
  • Experience supporting events or training sessions (desirable).

As a part of your duties and responsibilities, you are also required to:

  • provide adequate care and supervision of children and young people in your charge

  • report any breaches of policy by other personnel, however minor, to management
  • act on and report any incidents of racism as outlined in our Code of Conduct
  • support children and young people to express their culture and enjoy their cultural rights
  • maintain valid Working with Children Check (or equivalent) documentation
  • undergo periodic ‘national criminal history record’ checks
  • report to management any criminal charges or convictions you receive during the course of your employment/volunteering that may indicate a possible risk to children and young people
  • A Working with Children Check plus Criminal History Records Check where applicable.
  • Responding to Risks of Harm, Abuse and Neglect – Education and Care full training before commencement (provided by SMG as needed)
  • our organisation undertakes several screening processes to ensure the appropriate protection of children in its care. This includes reference checks, identity check, qualification checks and professional registration checks (where applicable).
