The role

Carey is looking for an Executive Assistant to support our Director of Finance, Strategy and Integration and help bring order to the governance, strategy and integration work that keeps our mission moving. Combining trusted executive support with company secretariat-style governance, you will work across our entities, boards and committees to make sure decision makers have accurate, timely information, decisions are documented and acted on, and strategic initiatives move from intention to implementation. You will anticipate needs, connect people and information, and strengthen our rhythm and accountability. Guided by Carey’s values and mission, you will bring sound judgement, excellent communication and strong organisation, and be able to work independently under pressure while handling confidential matters with discretion.

The work has a rhythm. The pace is set by monthly and quarterly reporting, executive meetings, and board and committee cycles across five entities. You will own that rhythm. You’ll keep the governance calendar, set and communicate deadlines, gather inputs from the Director’s four direct reports, and shape them into clear, accurate papers that decision makers can rely on. Deadlines are tight and often land together. The right person sees them coming, plans accordingly and keeps contributors on track.

Minutes, registers and action tracking sit with you, and you follow every action through to close. So does improving the system: the templates, processes and registers that make the next cycle easier than the last.

Who You Are:

  • Structured and calm when several deadlines land at once
  • Quick to spot what is wrong or missing, and willing to say so
  • A builder of systems: calendars, registers, templates and processes others can follow
  • A finisher who closes every action
  • A clear writer with a sharp eye for detail
  • Diplomatic and persistent when chasing input from senior colleagues
  • Discreet and trusted with sensitive information
  • Experienced supporting senior executives and boards
  • An active Christian who wants your work to be an expression of your faith

Experience in a multi-entity group will help. You’ll be confident in Google Workspace and quick to learn a board portal.

What to know

  • There will be some evening governance meetings and occasional after-hours events
  • You will need a current National Police Clearance and Working with Children Check
