Administrative & Communications Coordinator

$32.00 - $35.00 hourly

Job Description

Provide administrative, communications and operational support to the church community. The role supports church leadership, hall hirers, ministry activities, property management, communications, events and worship administration, helping ensure the smooth day-to-day functioning of the church.

  • Position Type: Permanent Part-Time
  • Hours: 7-16hrs per week; can be worked over 2-4 days. No weekend work required. This role could potentially operate during school term time only.
  • Probation Period: Six months
  • Location: Flexible arrangement of onsite and remote work by agreement
  • Remuneration: In accordance with NSW Synod of the Uniting Church guidelines and the applicable award

POSITION PURPOSE

The Administrative & Communications Coordinator provides administrative, communications and operational support to the church community. The role supports church leadership, hall hirers, ministry activities, property management, communications, events and worship administration, helping ensure the smooth day-to-day functioning of the church.

KEY RESPONSIBILITIES

Administration & Office Support

  • Manage incoming emails, correspondence and general enquiries, responding promptly or directing matters to the appropriate person.
  • Collect, process and distribute mail.
  • Maintain church membership, contact and distribution lists.
  • Maintain electronic filing systems and online document management.
  • Support Church Council and ministry leaders with administrative tasks and communications.
  • Assist with surveys, subscriptions, registrations and reporting requirements as required.

Hall Hire & Property Administration

• Maintain hall hire schedules and booking records.
• Coordinate annual hall hire agreements and related documentation with regular hall hirers.
• Respond to enquiries from existing and prospective hall hirers.
• Coordinate site orientations and access arrangements for new hirers.
• Maintain key registers and key distribution records.
• Act as a contact point for hall hire and property-related issues, escalating matters where required.
• Liaise with contractors, cleaners, property managers, real estate agents and relevant church representatives regarding maintenance and property matters.
• Monitor and order office, kitchen and cleaning supplies.

Communications & Digital Media

• Assist with preparation of weekly bulletins, newsletters and other church communications.
• Maintain website content, including updates to service information, notices, events and ministry activities.
• Maintain Mailchimp communications and subscriber lists.
• Support communication and reporting of Church Council decisions, ministry activities and community events.

Events & Community Engagement

• Support planning and promotion of church events and activities.
• Work with volunteer event organisers in the congregation in the preparation of promotional materials including posters, social media content, website updates and event listings.
• Coordinate event registrations and online ticketing platforms where required.
• Assist event organisers with communication, logistics and access to church facilities and resources.
• Coordinate collection of event reports, photographs and promotional content for publication.

Worship & Ministry Administration

• Assist with worship-related administration including rosters, resource distribution and service publication.
• Support coordination of volunteers and worship leaders.
• Assist with publication of worship services and related content on digital platforms.
• Provide administrative support for ministry programs and activities.

Finance Support

• Forward financial information and documentation to the bookkeeper, Treasurer or designated officers.

SELECTION CRITERIA

Essential

• Warm, approachable and professional manner.
• Excellent written and verbal communication skills.
• Strong organisational and administrative skills with attention to detail.

• Experience in community, church, not-for-profit or volunteer-based organisations.
• Ability to manage competing priorities and work independently.
• Proficiency with Google Workspace (Docs, Sheets, Slides and Drive).
• Ability to maintain confidentiality and exercise sound judgement.

Desirable

• Experience with Canva, WordPress, Mailchimp, Slack and Humanitix.
• Event coordination experience.

EQUIPMENT

Church equipment will be provided for onsite work. Arrangements regarding equipment and technology requirements for remote work will be reviewed periodically.

REPORTING

The position reports to the chair of the church council in the interim, pending the commencement of our new ministry leader in December.
