Diamond Women is looking for an experienced, proactive and highly capable Office & Accounts Coordinator to join our Bella Vista team for approximately 11–12 hours per week.

You may have spent many years in a senior administration or accounts role and now want something smaller. The Role

Working alongside our Office Manager, you'll help manage the practical administrative and accounts functions that keep Diamond Women running smoothly.

Your responsibilities will include:

  • Accounts payable and receivable administration
  • Processing and issuing invoices
  • Receipts, reimbursements and expense administration
  • Maintaining accurate financial records and supporting documentation
  • Preparing information for bookkeeping and accounting processes
  • Following up outstanding invoices and financial information
  • Supplier and service-provider administration
  • General office coordination and administration
  • CRM, database and record administration
  • Preparing documents, spreadsheets, correspondence and reports
  • Coordinating office supplies, equipment, deliveries and contractors
  • Assisting with staff onboarding administration
  • Supporting documentation for grants, reporting and compliance
  • Occasional support for fundraising activities, events and organisational projects
  • Providing practical administrative support to the Office Manager and broader team.

Experience with Xero or similar accounting software would be highly regarded.

Who We're Looking For

We'd particularly love to hear from someone with significant office administration experience who is intentionally looking for a smaller, flexible role where their experience can make a difference.

You may have previously worked as an Office Manager, Office Coordinator, Accounts Administrator, Executive Assistant, Administration Manager or Small Business Administrator.

You'll ideally be someone who:

  • Has substantial office administration experience
  • Understands accounts payable, receivable and invoicing
  • Is confident working with numbers and financial records
  • Has excellent attention to detail
  • Is highly organised and able to manage competing priorities
  • Can work independently without requiring constant direction
  • Notices what needs to be done and takes appropriate initiative
  • Follows tasks through to completion
  • Communicates warmly and professionally
  • Is trustworthy and highly discreet
  • Is comfortable with Microsoft Office and cloud-based systems
  • Brings sound judgement and a practical, solutions-focused approach
  • Enjoys being part of a collaborative team.

Experience in a charity, church, community organisation or small business would be an advantage, but isn't essential.
