The Role

We are seeking a highly organised and proactive Executive Assistant to provide high-level, confidential administrative support to our CEO. In this newly created part-time role, you will be instrumental in optimising the CEO’s time, prioritisation, and executive workflow, while modelling our child-safe, privacy, and confidentiality obligations.

Key Responsibilities:

  • Inbox & Communication Triage: Proactively manage the CEO’s inbox, prioritising correspondence, drafting responses, and acting as the first point of contact for executive enquiries.
  • Diary & Meeting Coordination: Manage the CEO’s diary and schedule, prepare agendas, and collate briefing documents.
  • Workflow Management: Track decisions and actions, follow up owners, and coordinate information flow to ensure the CEO is well briefed and prepared.
  • Travel & Expenses: Coordinate domestic travel itineraries and consolidate CEO travel expenses in Xero (collecting receipts, reconciling transactions, and coding).
  • Projects & Events: Draft and format executive presentations/reports, undertake strategic ad-hoc projects, and support the CEO with event coordination.

About You

To be successful in this role, you will bring:

  • Communication: Exceptional written and verbal communication skills, with a strong capability in drafting professional correspondence.
  • Efficiency: Outstanding organisational and time-management skills, with the ability to prioritise tasks effectively within the week.
  • Tech-Savvy: High proficiency in office software (e.g., Microsoft Office) and digital diary management.
  • Culture Fit: A positive and optimistic approach to work that aligns with our core values of Hope, Trust, Excellence, and Community.

Desirable:

  • Demonstrated background providing strong administrative, operational or executive support.
  • Knowledge of the Not-For-Profit (NFP) sector and a strong understanding of Australian school environments and church culture.
