Assistant Business Manager

Job Description

Provide operational and administrative support to the Business Manager and Director. This role is essential for keeping our day-to-day operations running smoothly, supporting administration, finance, HR, compliance, and communications processes as needed.

  • Hours: 1–3 days per week (flexible, part-time).
  • We will consider remote work for the right candidate.

The Role
We are looking for a reliable and organised Assistant Business Manager to provide operational and administrative support to the Business Manager and Director. This role is essential for keeping our day-to-day operations running smoothly, supporting administration, finance, HR, compliance, and communications processes as needed.

Key Responsibilities

  • Assist with daily administration and client management processes
  • Support client intake, setup, and case management under guidance
  • Help with invoicing, payment processing, and reconciliations
  • Assist with onboarding, staff documentation, and recruitment coordination
  • Support marketing, communications, and promotional tasks as directed
  • Maintain accurate and compliant records
  • Assist with implementation of systems, policies, and quality improvement initiatives as required
  • Provide administrative support for WHS documentation and escalate concerns appropriately
  • Identify administrative issues or inefficiencies and escalate them to the Business Manager

Who You Are

  • Experienced in business operations or small business environments
  • Strong accounting or bookkeeping knowledge (Xero experience preferred)
  • Highly organised with strong attention to detail and accuracy
  • Able to follow direction, prioritise tasks, and work independently
  • Demonstrates strong interpersonal and communication skills
  • Capable of resolving conflicts and building positive workplace relationships
  • Professional, discreet, and committed to confidentiality
  • Quick to learn new systems and processes
  • Comfortable working within a Christian faith-based organisational environment

Desirable

  • Experience with practice management software (Splose preferred)
  • Exposure to NDIS, Medicare, or other health-related billing
  • Experience supporting HR or recruitment processes
  • Experience with Google Workspace (Docs, Sheets, Gmail, Drive)
