About the Role

We’re looking for a reliable and experienced Team member to play a pivotal role in overseeing and managing our Finances & Logistics in our Perth office, to ensure the efficient delivery of bookkeeping and logistics support services to all our clients.

The Finance & Logistics Administrator required for 2-3 days per week (Flexible). This role is responsible for overseeing the financial operations of the organization. This includes managing financial records, supporting payroll processes, ensuring compliance with financial regulations, aiding strategic financial planning, budgeting, insuring accurate reporting and other administrative activities. It also includes administering the distribution of our paper from our Perth Office monthly. You will oversee a small team of volunteers to sort and pack the papers ready for distribution across Australia. You will also maintain our subscription base and ensure invoicing, and payments are completed in a timely manner. This position is based out of our Perth office and has flexibility on the days of work across the Monday- Friday work week. Our ideal candidate would love to join a Kingdom focussed organisation and has an experienced financial and logistics administration background.

Key Responsibilities: Financial

  • Accounts payable & receivable
  • Receipting
  • Reconciliation of customer payments and trading terms
  • Reconciling month end accounts
  • Daily bank reconciliations
  • Preparation of BAS, payroll (fortnightly) PAYG withholding and superannuation
  • Maintain subscriptions database for our Australian Operation
  • Manage oversight of overseas operations and ensure all funds transfer are completed as per schedule
  • Ad hoc admin tasks as needed

Key Responsibilities: Logistics

  • Preparation and upkeep of subscriber database
  • Preparation of labels for monthly paper distribution
  • Oversee monthly pack of papers with the volunteer team. (This can involve lifting packages weighing up to 22 kg, and moving pallets of papers and Australia Post ULDs filled with packages.)
  • Liaise with Australia Post and transport companies for pick-up of monthly paper distribution.
  • Folding, wrapping and mailing of the Explorers magazine.
  • Liaise with Australia Post for all aspects of distribution of the paper

Key Responsibilities: Other

  • Preparing and participating in the annual audit of CLF accounts
  • Provision of financial statements to the Treasurer, Board of CLF and to the General Manager.
  • Participation in annual budget preparation
  • Keep governance reporting up to date
  • Manage funds for overseas operations to ensure each project has at least six months funding available.
  • Oversee admin functions to ensure efficient application of CLF policies, procedures and guidelines
  • Annual reviews of all CLF policies to ensure they comply with ACNC legislation and policies

Essential Skills

  • A strong working knowledge of accounting software (Reckon preferred)
  • Significant experience in managing monthly BAS returns
  • Strong database management skills
  • An excellent knowledge of Office365 products
  • Previous experience in small to medium charities would be advantageous
