Position Overview

The Accounts Administrator required for 3 days per week. This role is responsible for overseeing the financial operations of the organization. This includes managing financial records, supporting payroll processes, ensuring compliance with financial regulations, aiding strategic financial planning, budgeting, insuring accurate reporting and other administrative activities. This position is based out of our Brisbane office and has flexibility on the days of work across the Monday- Friday work week. The ideal candidate is an individual who would like to join a Kingdom focused, growing, supportive and innovative organization and has an experienced Accounts Administrator background.

Key Responsibilities

Assist our Executive and Operations team by supporting the day-to-day operations of the business with an emphasis on facilitating:

1. Budgeting, Data & Reporting

  • Assist in the preparation of Quarterly and Annual budgets and ensure that subsequent data is accurately coded to reflect the set budget
  • Regular reconciliations of bank accounts and financial transactions including leave provisions, depreciation, prepayments, etc.
  • Prepare and draft monthly financial statements, including balance sheet and profit and loss statements
  • Ensure that financial data and cash flow reporting are timely, accurate and support operational requirements.
  • Coordinate day-to-day finance arrangements of CfaN to support operations.
  • • Maintain fixed asset register with additions, disposals, and depreciation rates
  • Ensure that accounts receivable collection and process is adhered to, including sending statements, ensuring invoices are processed in the system in a timely manner.
  • Pay accounts payable according to terms or otherwise internally agreed arrangements (within the confines of cash flow planning), including processing and reconciliation of bills.
  • Ensure accuracy and timeliness of transactions in readiness for BAS preparation.

2. Strategic Input

  • Develop an in-depth knowledge of the organisation and its objectives;
  • Support the Executive Team with projects and tasks when required.
  • Identify improvements to financial control, data accuracy, process improvement and internal controls in financial and administrative areas of the organisation and deal with breaches and notify upwards if serious or repeated.
  • Keep Governance Reporting up to date.
  • Oversee administrative functions to ensure efficient and consistent application of CfaN policies, procedures, and guidelines.
  • Ensure other statutory employment obligations are met, including Workcover, superannuation and Single Touch Payroll

3. Governance, Risk Management and Compliance

4. Human Resources

  • Process payroll cycles
  • Ensure HR related payroll changes are reflected in Xero
  • Ensure HR policies with respect to payroll are followed and identified when breaches have occurred
  • Assist with human resources tasks, such as recruitment, employee onboarding, and maintaining employee records

5. Stakeholder Communication

  • Effectively communicate with internal and external stakeholders, including the executive team, employees, customers, suppliers, contractors, and partners.
  • Build and maintain relationships with stakeholders, such as clients, customers, vendors, and partners. This job description is not exhaustive and may be adjusted based on the needs of the organisation.
  • Maintain donor records and track donations in collaboration with the CRM System team.
  • Support donor engagement strategies to enhance and grow the donor base.
  • Leverage CRM systems, with a working understanding of Salesforce or a willingness to learn.

6. Other responsibilities

  • Periodically, CfaN will host events and conferences in Australia and staff will be asked to participate in these events as it pertains to their role.

Qualifications and Requirements:

Education

  • A qualification in accounting, finance, or business administration (or working towards one)

Skills

  • Proficient in Microsoft Excel, Xero and accounting software and Stripe
  • Experience with CRM (Salesforce) would be beneficial
  • Familiarity with Payroll, BAS, GST and Superannuation regulations.
  • Strong understanding of compliance requirements related to not-for-profits.
  • Strong understanding of accounting principles and standards
  • Excellent organizational, analytical, and problem-solving skills.
  • Effective communication and interpersonal skills.
