The Christian Medical and Dental Fellowship of Australia (CMDFA) is a fellowship of doctors, dentists, and associated healthcare professionals who take membership of CMDFA to be part of making a stand as followers of Christ in healthcare. CMDFA includes members from all Christian denominations and backgrounds and welcomes fellowship with family members and those from related professional disciplines.

Position Purpose

The Finance and Administration Officer is responsible for ensuring the financial integrity, administrative effectiveness, and governance compliance of the Fellowship. They will also participate in the mission of CMDFA to foster and promote Christian spiritual growth of members.

This role prioritises:

  • Sound financial management and bookkeeping
  • Operational support in member engagement, communications, and events
  • Accurate and timely reporting to the Board
  • Compliance with statutory and regulatory requirements
  • Effective administrative systems that support the mission of CMDFA

Key Responsibilities

1. Finance (Primary Responsibility)

  • Preparation of the annual budget in consultation with the National Treasurer
  • Monitoring income and expenditure against budget and providing regular financial reports
  • Maintaining accurate financial records and bookkeeping
  • Processing transactions, invoicing and receipting
  • Managing payroll and related compliance
  • Preparing and lodging quarterly BAS
  • Managing cash flow and reconciliations
  • Facilitating and coordinating the annual audit
  • Supporting financial transparency and stewardship in line with CMDFA’s values

2. Core Administration (Primary Responsibility)

  • Managing general email and correspondence
  • Managing membership database, subscriptions and renewals
  • Facilitating newsletters and member communications
  • Handling member and public enquiries especially
  • Engaging and liaising with IT support providers as required
  • Maintaining organised and accessible records and administrative systems

3. Governance and Compliance (Primary Responsibility)

  • Preparing timely and accurate reports for the Board
  • Attending Board meetings
  • Maintaining governance documentation and registers
  • Ensuring compliance with regulatory bodies including, but not limited to ASIC and ACNC
  • Maintaining and updating organisational policies and procedures
  • Upholding confidentiality and appropriate data governance practices

4. Events and Conference Support (Primary Responsibility)

  • Administrative support for national conferences and key events
  • Management of booking and payment platforms (e.g., Eventbrite)
  • Monitoring registrations and payments
  • Attending conferences and key events to provide administrative and financial oversight where required

Non-Core: Communications, Fundraising and Marketing

  • Updating and maintaining website content
  • Supporting fundraising initiatives and appeals as determined by the Board
  • Contributing to the execution of marketing strategies

These responsibilities are secondary to the core financial and administrative functions of the role.

Selection Criteria

Essential

Demonstrated commitment to and willingness to work within the Christian ethos and mission of CMDFA including issues related to Christian values in healthcare

  • Willingness to participate in the Christian activities of the Fellowship such as prayer meetings, Bible studies, and spiritual encouragement
  • Proven experience in bookkeeping and financial administration
  • Experience preparing budgets and financial reports
  • Experience managing payroll and BAS obligations
  • Strong understanding of compliance obligations for not-for-profit organisations (e.g., ACNC, ASIC)
  • Demonstrated experience supporting board governance and preparing reports
  • High-level organisational and record-keeping skills
  • Excellent written and verbal communication skills, including minute-taking and drafting formal correspondence
  • Strong attention to detail and financial accuracy
  • High level of proficiency with accounting software (i.e., Xero) and Microsoft Office (particularly Excel)
  • Ability to exercise sound judgement, maintain confidentiality, and work both independently and collaboratively

Desirable

  • Experience in the not-for-profit or Christian ministry sector
  • Relevant qualification in accounting, bookkeeping, business administration, or similar
  • Experience in event administration and registration platforms
  • Experience with CRM/member database systems (i.e., Salesforce)
  • Experience in communications
  • Experience supporting fundraising initiatives

Employment Conditions

  • Full time (negotiable)
  • Pay rate $30 - $40 per hour
  • Some out-of-hours work may be required and will be compensated through time-off-in-lieu
  • Work-from-home (remote office) arrangements
  • Some flexibility required around key events and conferences (occasional travel may be required).
