Bookkeeper & Administrative Assistant

$35.00 - $65.00 hourly

Job Description

Position Summary

We are seeking a friendly, reliable and detail-oriented bookkeeper & administrative assistant to work in our small accounting practice.  This flexible role would involve a workload of between 10 - 20 hours per week. This role combines bookkeeping, office administration and client service duties. The successful applicant will enjoy working in a Christian environment, have excellent organisational and communication skills and take pride in providing accurate and professional support to both clients and staff. This position offers a varied workload and the opportunity to develop within a respected accounting practice.

Bookkeeping Duties

·         Process accounts payable and accounts receivable.

·         Perform bank reconciliations.

·         Reconcile credit card and loan accounts.

·         Process payroll and maintain payroll records.

·         Prepare and lodge Single Touch Payroll (STP) reporting.

·         Assist with the preparation of Business Activity Statements (BAS) and IAS.

·         Maintain fixed asset registers where required.

·         Prepare workpapers for accountants.

·         Assist clients with bookkeeping queries.

·         Process journals and maintain accurate accounting records.

·         Maintain client files using Xero and other accounting software.

Administrative Duties

·         Answer incoming telephone calls professionally.

·         Welcome clients to the office.

·         Schedule appointments and manage calendars.

·         Prepare engagement letters and client documentation.

·         Maintain electronic and paper filing systems.

·         Scan, upload and organise client records.

·         Prepare correspondence for clients.

·         Monitor office supplies and place orders.

·         Assist with ASIC annual review documentation.

·         Assist with ATO correspondence.

·         Maintain client databases.

·         Perform general office administration duties.

Client Service Responsibilities

·         Provide exceptional customer service.

·         Respond to client enquiries promptly.

·         Build positive relationships with clients.

·         Maintain confidentiality at all times.

·         Represent the practice in a professional manner.

Skills & Experience – Essential

·         Previous bookkeeping or accounting administration experience.

·         Experience using Xero.

·         Sound knowledge of Microsoft Office (Word, Excel and Outlook).

·         Excellent written and verbal communication skills.

·         High attention to detail.

·         Strong organisational and time management skills.

·         Ability to prioritise work and meet deadlines.

·         Ability to work independently and as part of a team.

·         Professional presentation.

Skills & Experience – Desirable

·         Certificate IV in Bookkeeping or Accounting.

·         BAS Agent registration (or working towards).

·         Experience with  Xero Practice Manager.

·         Experience working within an accounting firm.

·         Knowledge of Australian taxation and GST requirements.

·         ASIC and ATO online services experience.
