Junior Administrator – Churches of Christ Victoria and Tasmania (CCVT)

Position Type: Flexible
Reports To: Senior Administrator
Location: CCVT Offices (South Melbourne)

Position Purpose

The Administrator provides valuable support across the daily operations of the CCVT office. This junior-level role is ideal for someone developing their administrative skills and looking to contribute to the work of an organisation that supports a movement of churches and agencies across Victoria and Tasmania. Working under the guidance of senior staff, the Administrator assists with general office tasks, data entry, records management, event coordination, and communication support. The role plays an important part in ensuring the CCVT office runs smoothly and delivers timely, effective support to the wider movement.

Key Responsibilities:

1. General Office Administrative Support

  • Answer the main phone line and respond to general enquiries.
  • Monitor and manage emails in the CCVT and Reception inbox.
  • Coordinate office mail, stationery, and general supplies.
  • Organise monthly morning teas and contribute to a positive office environment.
  • Provide general administrative support to CCVT teams as required.

2. Records, Database, and Directory Support

  • Assist in maintaining accurate and current data in Salesforce and other CCVT systems.
  • Support file storage organisation, including scanning and uploading paper files to cloud-based storage.
  • Assist with updates to the CCVT Directory and help with its production and distribution.
  • Contribute to maintaining clean, accurate records and improving database processes under guidance.

3. Events & Workshops

  • Provide administrative assistance for CCVT events, such as the annual Summit or workshops.
  • Help manage registration lists, prepare materials, and assist with event logistics.
  • Communicate with venues and venue staff where required for events.
  • Assist with post-event tasks, such as updating Salesforce data and issuing attendee credentials.

4. Meetings

  • Provide administrative help for internal and external meetings as required.
  • Assist with room bookings, catering arrangements, and preparing meeting materials.

5. Ad-Hoc Duties

  • Support other administrative tasks as required by the team.
  • Be willing to take on varied duties and contribute to the smooth running of the CCVT office.

Desired Skills and Experience

  1. Basic Organisational Skills
    Ability to stay organised, follow instructions, and manage simple tasks with attention to detail.
  2. Entry-Level Administrative Experience (or Willingness to Learn)
    Some exposure to office or customer service environments is helpful, but not essential. A proactive attitude and eagerness to learn are key.
  3. Good Communication Skills
    Clear and friendly communication, both in writing and over the phone, with a helpful and professional manner.
  4. Confidence Using Computers
    Comfortable using Microsoft Office (especially Outlook, Word, and Excel) and open to learning new systems like Salesforce and online filing tools.
  5. Team-Oriented and Reliable
    Willing to assist others, take initiative when needed, and reliably follow through on assigned tasks.
