Stonebridge is a new financial services practice located in Ringwood; built on the strong foundations of YV Financial Services. As we establish and grow the new practice, we are seeking an experienced Administration Officer who understands the importance of exceptional client service, professional presentation, and the smart use of technology.

We are building a modern advice practice that embraces technology, efficiency, and new ideas, and we are looking for someone who enjoys working with systems and processes that improve the client experience and the efficiency of the business.
About the Role
You play a key role in the smooth day-to-day operation of the office while supporting advisers and ensuring clients receive a high level of service at every interaction.
You will help the practice stay organised, efficient, and forward-thinking by using technology and systems that support a modern financial advice business.
Key Responsibilities
• Welcome clients and create a professional and friendly first impression
• Provide high-quality administrative support to financial advisers
• Manage client records and maintain accurate documentation
• Coordinate client meetings and manage adviser calendars
• Prepare client correspondence and review documentation
• Liaise with product providers, platforms, and external stakeholders
• Assist with the preparation and implementation of financial advice documentation
• Maintain strong attention to detail across all administrative processes
• Utilise technology and systems to improve efficiency and client service
• Support the efficient day-to-day running of the office
About You
You are someone who values professionalism, client service, and accuracy. You understand the standards required within the financial services industry, take pride in delivering a polished and organised client experience and are comfortable using technology to support efficient and modern business processes.
You enjoy working in an environment that values continuous improvement, innovation, and new ideas.
Essential Requirements
• Minimum 5 years’ experience in the financial services industry
• Strong understanding of financial products and advice processes
• Advanced proficiency in the Microsoft Office Suite (Word, Excel, Outlook)
• Excellent attention to detail and organisational skills
• Strong communication and interpersonal skills
• Professional presentation and a client-focused mindset
• Comfortable working with technology and business systems
• Ability to manage multiple tasks and priorities
• Knowledge of the importance of cyber security and the protection of valuable client data
Highly Regarded
• Experience working within a financial planning or wealth management practice
• Familiarity with financial planning software or CRM systems
• Understanding of compliance and documentation requirements within advice practices
